The best AI chatbot for small business depends mostly on where your work already lives. If your email and documents are in Google Workspace, Gemini is already in your plan. If you're on Microsoft 365, start with the Copilot Chat your business plan may already include. If you want the strongest standalone assistant for a small team, choose between ChatGPT Business and Claude Team. Both start at two seats, keep your business chats out of model training by default, and cost $25 per seat per month billed monthly ($20 billed annually). A solo owner can usually start on a $20 individual plan.

Prices below are US list prices from each company's official pages, checked on October 11, 2026. Plans change often, so confirm before you buy.

ChatGPT Business: best all-round choice for a small team

ChatGPT Business gives a team a shared workspace with admin controls for users, usage and billing. Standard seats are $25 per user per month billed monthly or $20 billed annually. Premium seats are $125 or $100 and include five times the usage, no five-hour limit and access to dots, OpenAI's always-on agents. You can mix seat types and start with two seats. OpenAI says Business data is never used to train its models and supports SSO and multi-factor authentication.

Standard seats include ChatGPT, ChatGPT Work (OpenAI's mode for multi-step tasks) and Codex, plus projects, custom GPTs, deep research and connectors to company tools. That breadth makes it the safest default when a team needs one assistant for writing, analysis, spreadsheets and light automation.

Watch out for: the two-seat minimum, so a one-person business is better off with Plus at $20 a month. Usage limits apply to Standard seats. Heavy users may need Premium or extra credits.

Claude Team: best for writing, documents and analysis

Claude Team is for groups of 2 to 150. Per Anthropic's Team plan article, Standard seats are $25 per member per month ($20 billed annually) and Premium seats $125 ($100 annually). Claude's pricing page lists SSO, domain verification, central billing, usage analytics, shared projects and enterprise search on Team. It also lists no model training by default, compared with an opt-out on individual plans.

Claude is a strong pick when the job is long documents: contracts to summarize, proposals to draft, reports to analyze, policies to rewrite in plain English. Team seats also include Claude Code, Claude for Microsoft 365 and Outlook, and Claude's Design, Slides and Docs tools.

Watch out for: role-based access, audit logs and SCIM are Enterprise features, not Team ones. Solo owners can use Pro at $20 a month ($17 billed annually).

Gemini in Google Workspace: best if you already use Gmail and Docs

If your business email runs on Google Workspace, you may not need another subscription. Business Starter ($7 per user per month on an annual plan, $8.40 flexible) includes Gemini in Gmail and chat with the Gemini app. Business Standard ($14 annual, $16.80 flexible) adds Gemini across Docs, Meet and other apps, expanded Gemini app access, Gemini Notebook features, and meeting recording. Starter, Standard and Plus can each be bought for up to 300 users.

Watch out for: if your team needs AI inside Docs and Sheets rather than only Gmail, Starter isn't enough. And if you don't already use Workspace, switching email providers just to get an assistant is a big move.

Microsoft Copilot: best if you live in Outlook, Word and Excel

Many Microsoft 365 business plans include Copilot Chat at no extra seat cost, with web-grounded chat and file upload under IT controls. The paid Microsoft 365 Copilot add-on is $30 per user per month billed yearly, on top of a qualifying Microsoft 365 license. It adds Copilot inside Word, Excel, PowerPoint, Outlook and Teams, grounded in your own files, mail and meetings. Our Microsoft Copilot vs Claude guide covers the plan names in detail.

Watch out for: the add-on only makes sense if you already pay for Microsoft 365, and the plan names are easy to mix up.

Grok Business: best for real-time web and X context

Grok Business is $30 per user per month and self-serve through xAI's console, where admins buy licenses and invite users. Grok's strength is real-time information from the web and X. That's useful for businesses that track news, trends or social conversation. Custom SSO and directory sync are part of Grok Enterprise.

Watch out for: it's the most expensive standard seat here, and xAI's business page doesn't list an annual discount.

Free options and other assistants

  • Free tiers: ChatGPT, Claude, Gemini and Copilot all have free versions. They're fine for trying prompts, but they lack admin controls, and on most free and individual plans you need to opt out of model training yourself.
  • Meta AI: free inside WhatsApp, Instagram and Messenger, handy for quick questions, but not a managed workplace tool. See Meta AI vs ChatGPT.
  • Perplexity: answers with cited web sources. Useful for research questions alongside your main assistant.

  4. Need a shared team assistant? Trial ChatGPT Business and Claude Team with two seats each on the same real tasks for a week.
  5. Handle sensitive customer data? Choose a business plan with no training on your data, turn on SSO if you can, and write a one-page rule for what staff may paste in.

FAQ

What is the best AI chatbot for a small business?

For most small teams, ChatGPT Business or Claude Team, both $25 per seat per month billed monthly with a two-seat minimum. If you already pay for Google Workspace or Microsoft 365, start with the Gemini or Copilot features your plan includes before buying another tool.

Is ChatGPT Business worth it over ChatGPT Plus?

For two or more people, usually yes. Business adds a shared workspace, admin and billing controls, and OpenAI states business data isn't used for training. A single owner can stay on Plus at $20 a month and turn off model training in Data Controls.

Does Google Workspace include Gemini?

Yes. Business Starter includes Gemini in Gmail and the Gemini app. Business Standard and above add Gemini across Docs, Meet and other Workspace apps with expanded model access.

Which AI chatbot is safest for customer data?

Pick a business plan whose terms exclude your data from model training (ChatGPT Business, Claude Team and work accounts on Microsoft 365 Copilot all describe this), turn on SSO where available, and limit what staff paste in. Free and individual plans usually need you to opt out yourself.

Can a small business use more than one AI chatbot?

Yes, and many do: for example Copilot or Gemini inside email and documents, plus ChatGPT or Claude for long writing and analysis. Just keep track of where customer data goes.

Do I need a business plan if I work alone?

No. Business plans start at two seats on ChatGPT and Claude. A solo owner can use an individual plan at about $20 a month and adjust its privacy settings.
